1.Who we are

Reelstate is a trading name of Rooted Social Limited, a company registered in England and Wales, company number 15145808. We are the data controller for the personal information described in this policy. You can reach us about anything privacy-related at hello@reelstate.co.

2.What this policy covers

This policy explains what information we collect when you use reelstate.co, request a free reel, place an order, or hear from us about our services, how we use it, who we share it with, and the choices you have. Reelstate is a business-to-business service for property professionals and is not intended for anyone under 18.

3.What we collect

Details you give us: your name, work email, phone number, company, role, development details, style notes, and the files you upload, such as renders, photography and brand assets. Messages you send us by email, WhatsApp or through the site.

Payment information: payments are handled by Stripe. We see transaction details such as amount and status. We never see or store your full card number.

Prospective client details: business contact information for property companies, gathered from public sources and business data providers, used to tell relevant businesses about Reelstate.

Basic usage data: standard technical information when you visit the site, such as pages viewed and device type.

4.How we use it

To produce and deliver your reels. To run your order, including contracts, invoices, payment confirmation and progress updates. To respond to enquiries and provide support. To improve our service. And to contact property businesses we believe would genuinely benefit from Reelstate, with a clear way to opt out in every message.

5.Our legal grounds

We rely on: performance of a contract, when we handle your details to deliver an order. Legitimate interests, when we run and promote a business service to other businesses. Legal obligation, when we keep records for tax and accounting. And consent, where we specifically ask for it.

6.Who we share it with

We share information only with the service providers that help us run Reelstate: Cloudinary for file uploads, GoHighLevel for client records and email, Google Workspace for email and file delivery, Stripe for payments, the AI video generation platforms we use in production, and the tools we use to manage outreach. Each provider processes data under its own safeguards and our instructions. We do not sell your personal information to anyone.

7.International transfers

Some of our providers process data outside the UK and outside Kenya, including in the United States. Where that happens, we rely on recognised transfer safeguards such as standard contractual clauses and providers' certified frameworks.

8.How long we keep it

Order and payment records are kept for up to six years to meet tax and accounting requirements. Enquiry and outreach details are kept while they remain relevant, or until you ask us to stop. Uploaded materials are kept as long as needed to produce and deliver your order, and we will remove them on request once an order is complete.

9.Your rights

You can ask us for a copy of your information, ask us to correct or delete it, restrict or object to how we use it, or ask for it in a portable format. You can opt out of marketing at any time by replying to any message or using the unsubscribe link. To exercise any right, email hello@reelstate.co and we will respond promptly. You can also complain to the UK Information Commissioner's Office, or to your local authority, including the Office of the Data Protection Commissioner in Kenya.

10.Security

We protect your information with encryption in transit, access controls, and reputable providers with strong security practices. No system is perfectly secure, but we take reasonable and proportionate measures to keep your data safe.

11.Your uploads and other people

Renders and photography you upload should be materials you have the rights and permissions to use. If any images include identifiable people, you are responsible for having their permission, as set out in our Terms and Conditions at reelstate.co/terms.

12.Changes to this policy

We may update this policy as the service evolves. The version published on this page applies. If a change materially affects how we handle your information, we will take reasonable steps to let you know.
